Out of Office
The Out of Office feature in Pass provides any Admin, Teacher, or Staff user with the opportunity to indicate that they are not available for a designated period of time to approve passes in the system. The system will notify and stop the student from creating a pass to the user that has set an out of office notification. The user will indicate the date and designate the time period as shown below.
Admins can set their own Out of Office or they can set an Out of Office for another user. Admins can also see all Out of Office notifications that have been set by Teachers and Staff. The Out of Office menu can be accessed from the main menu on the left or from the blue “Create” button, as shown below.


Click the blue + Out of Office button in the upper right corner.

Complete the form with the required information below.
- User - Choose yourself (My leave) or any location with which you’ve associated yourself in your User Profile section.
- Presets - 30-minute increments
- Specific Date and Time of OOO
- Repeat - Choose the repetition for this OOO instance (No Repetition, Daily, Weekly, Monthly)

A comment is NOT required but can be added if you wish to share why you are not available during this specific time.
Click Create before leaving the page.
Additionally, you can see your current and completed OOO instances. If you need to do one of the following - find a specific OOO instance, download this list for future reference, or act on an OOO instance - use the “Search” option, click on the Download icon, or click on the vertical three (3) dots under the “Action” column. If editing an Out of Office instance, you will be able to modify the “End time” and “End on” date (if applicable).

A dashboard message will appear for the user when they have an active Out of Office. This message indicates when the Out of Office will end. There will also be a green “On” indicator on the left Out of Office menu. There is an “X” that provides the user with an easy way to end the Out of Office without having to go back into the full menu. Please see below.

Below is the message that a student will receive when trying to create a pass TO an adult who has an active Out of Office.

It is not recommended to set an Out of Office for Teachers who are out sick and a substitute is covering for them. Students may still need to create passes to/from their “regular” teacher so the substitute can use their assigned PIN to approve the pass.
