Offboarding a District from Securly Pass
This guide is for district administrators who are winding down their use of Securly Pass — for example at the end of a contract, when consolidating tools, or when a district is no longer using Pass district-wide. It walks through the steps to close out cleanly so that your data is preserved, your rostering syncs are stopped, and users lose access in an orderly way.
Good to know: Securly Pass is a standalone, web-based platform accessed at pass.securly.com and through the Pass mobile app. It does not rely on the Securly Chrome extension, so there is no browser extension to remove as part of offboarding — the cleanup is about stopping data feeds, revoking access, and reclaiming devices.
Before you begin
Two things are important to understand up front:
- Securly deactivates the account, not a self-serve button. There is no in-app control to delete an entire district from Pass. To end the service, contact your Securly Account Manager or email support@securly.com to submit a Support Request so Securly can schedule the deactivation. The steps below are the cleanup work the district should do before that deactivation takes effect.
- Time it to the Pass school year. The Pass system school year runs from July 1 through June 30, and some components reset on July 1. Wherever possible, plan your offboarding around that boundary so reports and usage data map cleanly to a full school year.
Step 1: Export and retain your data first
Once an account is deactivated, admins lose access to the dashboard and its reports. Export anything your district needs to keep before offboarding. Pass exposes data in two places:
Downloadable reports (Control Panel → Reports)

The SFTP export folder
If your district uses SFTP, scheduled exports (such as the daily tardy attendance file) are written to the export sub-folder under your school’s SFTP directory. Retrieve any files you still need from SFTP before the account is closed, and coordinate with your IT team to decommission the SFTP credentials afterward.
Step 2: Stop user provisioning and roster syncs
Pass keeps its user list in sync with the source you roster from. If you deactivate without stopping that source, a sync could re-add users. Identify how your district rosters and stop it:

Note: If you plan to change your provisioning method (for example CSV → Securly Sync) rather than fully offboard, submit a Support Request instead — provisioning, domain, and SIS changes are handled by Securly.
Step 3: Archive users
Archiving removes a user’s access. How it happens depends on how the user was added and on the Prevent From Archiving (PFA) toggle:
- Auto-archiving. Students and adults rostered from a third-party source or a user CSV file are archived automatically when they are removed from that source and the next sync or upload runs. If you stopped the sync in Step 2, coordinate the final removal so users auto-archive as expected.
- Prevent From Archiving. If a user has the PFA toggle turned on, they will not auto-archive when removed from the sync or file. Turn PFA off for those users, or archive them manually.
- Manual archiving. Pass admins can archive any user regardless of PFA. Go to Users → Main Users, select the checkbox next to one or more users, and click ARCHIVE. Be aware that if a manually archived user is still present in the CSV file or third-party sync, they will return as active on the next upload or sync — which is why Step 2 comes first.
Step 4: Turn off integrations, modules, and device access
- Classroom integration. If Securly Pass is integrated with Securly Classroom, disable it in Classroom: Settings → Systems → Integrations, clear Enable Securly Pass integration, and Save. The Pass logo will no longer appear for teachers in Classroom.
- Modules. From the Modules List in the Control Panel, wind down modules the district enabled — such as Kiosk, Student Appointment Pass (sAPT), Tardy, and Visitor — so no new activity is created during the transition.
- Kiosks. Retire any shared Kiosk devices and remove their Kiosk keys so passes can no longer be created from them.
- Pass app and shortcuts on devices. Pass is reached through a browser or the Pass mobile app (iOS and Android), and many districts push the Pass URL as a web shortcut or deploy the app to student and staff devices through an MDM or the Google Admin console. If yours did, remove that app or shortcut from your device management so Pass is no longer presented to users after offboarding.
- Single sign-on access (if applicable). Pass sign-in uses your identity provider (Google, Microsoft, Clever, ClassLink, or Pass-specific credentials) at
pass.securly.com/login. There is usually no separate “Pass app” registered in your SSO admin to delete, but if your district explicitly granted Pass OAuth/app access in Google Workspace or Microsoft, you may revoke it there for good hygiene. Clever and ClassLink access is already handled when you remove Pass from your rostering configuration in Step 2.
Step 5: Notify users, then confirm deactivation and billing
- Communicate the offboarding date to admins, teachers, staff, and — because students create their own passes — students in advance, so no one relies on Pass after it is turned off.
- Confirm the deactivation date with Securly in your Support Request, and make sure all data exports from Step 1 are complete before that date.
- After the deactivation date, verify with Securly that the account is fully deactivated and that billing has ceased.
Data retention and security
Pass practices data minimization — for districts rostering through Clever or ClassLink it collects only essential fields (first name, last name, email, role, graduation year, and ID number). If your district has specific data-retention or data-deletion requirements as part of offboarding, state them in your Support Request so Securly can confirm how your data is handled after the account is closed.
Offboarding checklist
- Submit a Support Request to schedule the account deactivation and confirm the date.
- Export and save all needed reports (Pass Totals, Advanced Reporting, Tardy LTS/LTC, Visitor) and retrieve remaining files from the SFTP export folder.
- Stop your rostering source (Securly Sync, Clever, ClassLink, or CSV/SFTP).
- Archive users (auto-archive after removal, disable PFA where needed, or archive manually).
- Disable the Classroom–Pass integration, wind down Modules and Kiosks, and remove the Pass app/shortcut from managed devices (revoke SSO/OAuth access if applicable).
- Notify admins, staff, and students of the offboarding date.
- State any data-retention or deletion requirements in your Support Request.
- After deactivation, confirm with Securly that the account is closed and billing has ceased.
