Deployment Prep Sheet: Aware & On-Call Contact Information
Use this sheet to gather the people and contact details Securly needs before your Aware and Securly On-Call deployment call. Having this ready up front means we can finish configuration on the call instead of following up afterward — the #1 cause of a delayed or incomplete deployment.
How to use this sheet
- Download the template below (or copy the tables into your own doc).
- Fill in every contact you want configured. Replace the example rows.
- Bring the completed sheet to your deployment call, or send it to your Securly contact ahead of time.

Tip: connect Securly Sync / your SIS first
On-Call and Case Manager rely on your Student Information System (SIS) for student and parent/guardian data. If your district is connected to Securly Sync, we can automatically import your staff users, so on the deployment call you can simply select and map the right people from a list instead of typing every name and email by hand. If you use Clever or ClassLink rostering, ask your Securly contact about enabling Securly Sync before your call.
1. District primary contact
Name one district-level owner of case management and communications. This is the person Securly coordinates with and who oversees your deployment.

2. Securly On-Call escalation contacts
Securly On-Call analysts monitor flagged activity 24/7 and, for higher-risk cases, notify your district's emergency contacts by email, automated SMS, and phone. List the people who should be contacted, in the order they should be reached. A working cell phone number is required so analysts can reach someone during an urgent, time-sensitive situation. Automated SMS is only sent to contacts whose district has opted in — mark "Y" in the SMS column for each contact who should receive texts.

Notes / availability is where to record things like “summers off,” “do not call after 9pm,” or which contact covers a specific building — On-Call can customize who is notified by time, category, and risk level.
3. Securly Aware alert recipients
Securly Aware sends email alerts for flagged student activity to the school/district staff you designate (these are separate from the On-Call escalation contacts above). List everyone who should receive Aware email alerts.

4. Case Manager users (responders)
If your district uses Aware Case Manager, list the staff who need login access to review and handle cases (your "responders"). These may overlap with your Aware recipients, but Case Manager access is granted separately.

Student & parent / guardian data
On-Call also notifies parents/guardians for higher-risk cases, and student grade levels appear in alerts. This information does not go on this sheet — it comes from your SIS via rostering (or the parents.csv file in Securly Aware under Cases > Parent > Download CSV). Make sure your SIS is connected, or have your parents.csv ready and accurate (especially grade levels) before the call.
Before your call — quick checklist
- District primary contact named.
- On-Call escalation contacts listed in priority order, each with a cell phone number and an SMS opt-in (Y/N).
- Aware email-alert recipients listed with correct email addresses.
- Case Manager users (responders) listed, if you use Case Manager.
- SIS connected (or parents.csv downloaded, verified, and ready) so student and parent/guardian data is accurate.
- (If applicable) Securly Sync connected so staff can be mapped from a list.
