Admin “Back-to-School” Checklist - 2026
Flex school year: July 1 – June 30
Below is what resets on July 1 and what Flex Admins should review.
1. General Information
System rollover date (default: July 1)
You may delay the rollover if you use Flex for summer school.
Must be changed before July 1:
Go to My School Settings > System Settings > Delay the School Year Reset.
Enable, choose date, and click Update.
Before rollover, do not alter/archive flex periods or other data in prep for next school year.
Make changes for the new year after the rollover.After rollover, prior-year data is still available in read-only mode via the School Year dropdown.
Keep in mind that districts and APIs often pause roster syncs over the summer. Touch base with your district IT for specifics. Securly Sync School Year Rollover Information, Clever Pause Dates, ClassLink sync pauses are set by districts
2. District Technical Changes
Submit a Support Request if you plan to change any of the following:
User provisioning method (e.g., CSV → Securly Sync, Clever → Securly Sync, ClassLink, etc).
Email domains.
Student Information System (SIS) or other technical systems that may change file formats, data, or IP requirements.
3. My School Settings Review
After July 1 or your rollover date, review the following settings. Most carry over, but this is a good time to optimize.
Flex Periods
Last year’s active flex periods are copied to the new year.
Review and update:
Start/end times
Days of the week
Cutoff day/times
Any special settings
Controlled Access Periods (CAP):
Create new CAP groups and link them to the correct flex periods.
Grade-level groups can be auto-synced in System Settings > Group Auto Sync Settings. Allow 24 hours for the grade level groups to sync.
Catchall:
Confirm the type of Catchall and update related settings/create and upload new files.

Important notes:
Flex periods you won’t use:
Set to Inactive to hide, or
Delete with the trashcan icon (not recommended once school starts).
You may adjust flex frequency (add/remove days) before use, but
do not change days of the week mid-year (this causes data loss).
Activity Types
Copied over from last year - edit the list as needed.
Consider whether last year’s types supported your reporting/data needs.
Priorities
Review customizations (hidden/renamed priorities).
Note: Plus Add cannot be removed/hidden but can be renamed.
Rooms
Active rooms are copied to the new year - add, edit, or remove as needed.
Users
After your SIS updates for the new year:
Confirm new users are appearing via your upload/sync process.
Users no longer syncing should auto-archive.
Manually archive admins/staff who were manually added and are no longer active.
Announcements
Cleared at rollover.
Create new announcements/instructions for students and staff as desired.
System Settings
Verify all options match your plans for the new school year.
Reminder you can now set your export file time
Consider revisiting System Settings shortly before sessions start to toggle key settings:
For example, turn on student agenda emails the night before going live.
Managing Group Auto Sync will be influenced by when your district releases fall classes
File Upload
This screen starts fresh for the new year.
Update which files you send/upload if needed.
Files sent/uploaded July 1, 2025 or later will populate the new school year screen.
If you upload your file and it doesn’t appear, check that your headers match our directions and try again.
4. Additional Items to Review
Groups and Activities
Not copied to the new year.
Plan how to rebuild:
Re-enable Auto Sync groups (grade-level, course, class) in System Settings.
Note: Groups may not be available until your SIS is updated and users start syncing.
Adults can reference last year’s Groups and Activities via the School Year dropdown.
Default Activity Lists
Not copied to the new year.
Define new Default Activity Lists and create/pull in desired activities.

Excluded Students
Not copied to the new year - recreate exclusions after new-year users sync in.
Tip: Set these from the Cut List report (see video; start at 2:25) or use “Controlled Access Period” (CAP) feature in Flex Period settings to forbid a group of students from participating.
Restricted Students
Not copied to the new year - reconfigure restrictions once new users are present.
Autoassign “Preference List” UI
Preference List settings in the UI do not carry over.
For the new school year:
Upload an updated Preference List file.
Connect it in Flex Period Settings and click Update.
